Responsible AI Use Policy

Effective: February 4, 2026

Write‑Brained Editorial Services LLC integrates AI to accelerate compliant, accessible content delivery while maintaining human oversight and rigorous governance. AI enhances efficiency but never replaces certified human expertise in technical communication, accessibility remediation, federal proposals, and compliance documentation.

Governance Framework

Write‑Brained Editorial aligns with NIST AI RMF 1.0, EU AI Act risk classifications, and Executive Order 14179, ensuring defensible, audit-ready AI deployment across all client deliverables.

Core Principles

1. Transparency
Every project includes an AI Usage Disclosure detailing:

  • Tools used (e.g., GPT‑4, Claude)

  • Prompt categories and contribution level

  • Human review/validation steps

2. Human-in-the-Loop

  • All AI output requires expert human review and approval

  • Certified professionals (CPACC, WAS, Trusted Tester) perform final validation

  • No AI content delivered without human sign-off

3. Risk Classification

Low Risk
Examples: Grammar optimization, boilerplate
Oversight: Single human review

High Risk
Examples: Proposals, compliance docs
Oversight: Dual human review + audit log

4. Data Protection

  • Client data never stored in public models

  • Enterprise-grade platforms (SOC 2 Type II) only

  • End-to-end encryption; data deleted post-processing

5. Compliance Integration

  • AI content tested to WCAG 2.2 AA / Section 508

  • NVDA, CommonLook validation on all outputs

  • Plain language standards per plainlanguage.gov

Approved Use Cases (Human-Supervised Only)

  • Content structuring and outlines

  • Grammar, style, readability optimization

  • Source summarization and fact-checking

  • Repetitive elements (tables, lists, boilerplate)

  • Accessibility pre-checks (alt text, reading order)

  • Custom GPT agent design (client-approved)
